1. About the Role / 职位概述

The Operation Executive provides administrative, coordination, and operational support to both the Sales team and Supply Chain team. The role is suitable for a junior candidate who is organised, detail-oriented, and with strong coordination skills who wants exposure to the biopharmaceutical industry.

运营专员负责为销售团队和供应链团队提供行政、协调和运营支持。该职位适合有条理、注重细节、协调能力强,并渴望接触生物制药行业的初级候选人。

2. Key Responsibilities / 主要职责

A. Sales Operations Support / 销售运营支持

Ø Prepare quotations, sales orders, and invoices.
准备报价单、销售订单及发票。

Ø Coordinate with sales team on inquiries and product availability.
与销售团队协调咨询及产品可用性。

Ø Maintain customer records, price lists, and product documentation.
维护客户资料、价格表及产品文档。

Ø Track sales orders from confirmation to delivery.
跟踪销售订单从确认到交付的整个流程。

Ø Support customer service tasks such as responding to inquiries or documentation requests.
支持客户服务工作,如回复咨询或文档请求。

B. Supply Chain Support / 供应链支持

Ø Assist in preparing shipping documents, packing lists, COA(Certificate of Analysis)/COO(Certificate of Origin), and import/export forms.
协助准备运输文件、装箱单、COA分析证书/COO原产地证书及进出口表格。

Ø Coordinate with freight forwarders, warehouse teams, and suppliers for inbound/outbound shipments.
与货运代理、仓库团队及供应商协调进出口货物。

Ø Perform basic data entry into ERP/supply chain systems.
在ERP/供应链系统中进行基础数据录入。

C. Operation Administrative Tasks / 运营行政类工作

Ø Maintain files for regulatory documents, shipment records, sales contracts, and SOPs.
维护法规文件、运输记录、销售合同及SOP档案。

Ø Support the preparation of reports such as delivery status, sales tracking, and inventory movement.
协助准备诸如发货状态、销售跟踪和库存变动等报告。

Ø Assist in scheduling, logistics arrangement, and internal coordination.
协助安排计划、物流安排及内部协调工作。

D. Internal Communication / 内部沟通

Ø Work closely with the China HQ team on product information, shipping schedules, and documentation.
与中国总部团队密切沟通产品信息、运输计划及文件。

Ø Collaborate with U.S. and EU associated companies on cross-border operations when required.
需要时,与美国及欧洲关联公司协作跨境运营。

Ø Support communication between sales, regulatory, finance, and supply chain teams.
支持销售、法规、财务及供应链团队之间的沟通。

3. Requirements 任职要求

A. Qualifications / 学历要求

² Degree / Diploma in Business, Operations, Logistics, or relevant field.
商科、运营或相关领域的本科或大专学历。

B. Experience / 经验要求

Ø 1–3 years of operation, supply chain or logistics experience.
1–3 年运营、供应链或物流相关工作经验。

Ø Experience in pharmaceutical, biotech, or healthcare supply chain is a strong advantage.
在医药、生物技术或医疗行业供应链经验者优先。

Ø Experience in cross-border operations involving U.S. and Europe is beneficial.
具备涉及美国和欧洲跨境运营经验者更佳。

Ø Experience working with or reporting to a China-based parent company is highly advantageous.

Ø 有与中国本土母公司合作或向其汇报工作的经验将非常有利。

Ø Strong communication skills with ability to liaise with China headquarters (High proficiency in both spoken and written Mandarin).

具备较强与中国总部联络的沟通能力(普通话口语和书面表达能力均很强)。

Ø Proficiency in MS Office, Excel, and logistics/ERP systems.

熟练使用MS Office、Excel及物流/ERP系统。

Ø Detail-oriented, organised, adaptable to timing gap and work-culture difference among multinational countries.

注重细节、有条理,能适应跨国时间节奏和环境。
