Job Description
The designation is responsible for managing and coordinating all flavour sampling enquiries and related matters. Supporting customer responsiveness, maintaining sample traceability, and ensuring proper management of the sample and flavour library.
Detailed Responsibilities:
Receive and review incoming sample requests from both external and internal stakeholders.
Evaluate enquiries against product library information, including:
Product availability
Application suitability
Technical feasibility
This includes determining whether each sample request should be accepted or rejected based on the above criteria.
Coordinate approved sampling activities within R&D, including:
Working closely with compounders to initiate approved sample preparations.
Clarifying required sample type, quantity, format, and expected delivery timeline.
Monitoring progress and following up to ensure timely completion of all sampling tasks.
Provide administrative support for sample dispatch, including liaising with the logistics and warehouse teams to ensure proper packing and shipment of samples.
Maintain accurate and up-to-date records of all sample requests, preparation status, and completion details.
Support internal audits and customer enquiries by providing sampling history and related documentation when required.
Maintain and organize the product library, including managing ullage tracking to support sampling activities.
Ensure accurate data entry in R&D systems for both sample and library records.
Organize, update, and maintain the flavour library to ensure structured, easily accessible, and current information:
Collaborate with technical and operations teams to curate and manage the library list.
Conduct regular reviews to retire outdated samples and maintain relevance and compliance of active items.
Assist in general R&D administrative duties and support routine coordination activities.
Contribute to continuous improvement initiatives aimed at enhancing sampling efficiency, workflow effectiveness, and turnaround time.
Required Skills
Diploma / degree in food technology /science or related discipline is an added advantage.
Basic understanding of flavour ingredients, regulatory considerations, and lab processes.
3 to 5 years of experience in the administrative role or skillset.
Familiarity with ERP platforms preferred.
Strong attention to detail with good data entry and organizational skills.
Good communication skills; able to work cross-functionally.
Other Info:
Working days is Monday - Friday, 8:30am to 5:30pm
