• Overseeing the physical condition including maintenance and capital needs of properties:

o Coordinate and liaise with the Head of Facility and the team on building defects, feedback and follow-up on rectification works;

o Plan and supervise preventive and corrective maintenance to minimise disruption to operations;

o Budget, assess, schedule, and coordinate capital improvement and/or maintenance requirements;

o Ensure contractors/vendors/service providers complete repair and maintenance work to required timelines and standards under the various term contracts or as and when the need arises;

o Conduct regular site inspections;

o Assist the Head of Facility with building administration, projects, monitoring and review of works;

o Source for comparative vendors / contractors to carry out maintenance or repair works.

• Handling asset related issues such as:

o Respond to fire, building and security related emergencies;

o Plan and handle building enforcement matters;

o Manage tenant’s requests and address concerns;

• Review legal documents and contracts:

o Prepare and tender term contracts;

o Negotiate and finalise and / or renewal of term contracts and agreements with contractors and third-party vendors;

o Ensure that term contracts are carried out satisfactory, and carry out corrective actions when necessary.

• Carry out administrative and maintenance of records for documentation, rectification works and related matters. Ensure that documentation is scanned and approval papers are filed properly. Assist finance department with any enquires on invoices or any request for additional documentation as necessary.

• OH&S Committee member with the aim of promoting a safe and accident free environment in the office and on site. To ensure that contractors and third parties comply with safety guidelines and regulations, and provide recommendation to the OH&S committee and management on methods for improvement of safety standards.
