Job Description

We are looking for a proactive and personable Admin Assistant to support daily office operations and front desk management. In this role, you will be the first point of contact for visitors while also providing administrative and HR support across the organization.

This position is ideal for someone who enjoys multitasking, has strong organizational skills, and thrives in a fast-paced environment. You will play a key role in ensuring smooth office operations and delivering a positive experience for employees and guests.

Key Responsibilities:

Front desk & Office Coordination

  • Welcome and attend to visitors in a professional and friendly manner
  • Manage incoming calls, emails, and correspondence efficiently
  • Coordinate visitor access and maintain office security procedures
  • Handle incoming mail, deliveries, and courier services
  • Maintain a clean, organized, and presentable reception and common areas (5S standard)
  • Monitor and replenish office supplies and stationery
  • Provide general administrative support such as filing, scanning, and documentation
  • Support ad hoc tasks and projects as assigned

Office Administration

  • Maintain employee access cards, name cards, and contact directories
  • Manage vendor lists and coordinate servicing of office equipment and facilities
  • Oversee office supplies inventory and ensure timely replenishment
  • Coordinate office transportation arrangements
  • Assist with travel bookings, accommodation, and logistics
  • Support expense claims processing and vendor payment tracking
  • Assist in organizing meetings, appointments, and company events

HR Support

  • Prepare and submit purchase requisitions
  • Assist in coordinating training schedules
  • Support onboarding activities (e.g. system setup, issuing uniforms)
  • Handle collection of work passes from MOM
  • Maintain inventory of company-issued items (e.g. uniforms)

Job Requirements:

  • Diploma or equivalent in Business Administration or related field
  • 1–2 years of administrative or customer-facing experience preferred (fresh grads welcome)
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Good communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Positive attitude with a willingness to learn
