Job Description
Role Purpose(s)
This role is responsible for overseeing billing operation team and ensuring the efficient day-to-day operation in facilitating customs compliance related with goods import and exportation.
This role involves process automation, accurate billing, vendor’s cost reconciliation, report preparation, and maintaining healthy aging of invoices.
The Executive will also work closely with the technical team to integrate trade compliance systems with billing systems.
Key Accountabilities
· Ensure accurate billing for customers
· Ensure appropriate vendor payment management
· Work with billing team to achieve goals set related to billing and payment management targets
· Build clear SOPs for operation excellence
· Adopt latest tools to automate current processes
Job Responsibilities & Duties
1. Revenue Analysis & Performance Monitoring
- Analyze revenue performance at sub-product level, identifying trends, variances, and opportunities.
- Develop and maintain dashboards and performance reports to monitor key revenue KPIs.
- Support forecasting and planning processes with accurate, data-driven inputs.
2. Cost Analysis & Project Monitoring
- Track and analyze third-party costs and other internal expenditures against budgets.
- Monitor Product Segment-level timesheet charging and ensure appropriate cost allocations.
- Evaluate project-level financial performance, ROI, and adherence to budget.
- Identify cost-saving opportunities and flag areas needing actions.
3. Market Research & Insights
- Support product-specific market research to understand trends, competitive positioning, and customer needs.
4. Management Reporting & Coordination
- Prepare and coordinate regular management updates covering financial and operational metrics.
- Work cross-functionally to gather inputs, validate data, and deliver actionable insights.
5. Operational Management:
· Oversee daily operations and ensure smooth and efficient workflows.
· Work with the operation team to manage billing processes for multiple services, ensure on-time and accurate billing.
· Process vendors’ invoice for reconciliation and payment making.
· Monitor and evaluate the performance of operational processes to ensure productivity and efficiency.
· Identify areas for process improvement and implement strategies to optimize operations.
· First level Aging monitoring.
· Report and Escalate for abnormalities in business operations.
6. Process Improvement:
· Analyze operational processes and identify opportunities for improvement.
· Develop and implement standard operating procedures (SOPs) to enhance efficiency.
· Monitor industry trends and best practices to ensure the company remains competitive.
7. Resource Management:
· Manage resources effectively to meet operational goals.
· Coordinate with procurement and inventory teams to ensure the availability of necessary materials and equipment.
· Optimize resource allocation to minimize costs and maximize productivity.
8. Compliance and Quality Assurance:
· Ensure compliance with company policies, industry regulations, and legal requirements.
· Implement quality control measures to maintain high standards of service and product quality.
· Conduct regular audits and inspections to identify and address compliance issues.
· Housekeeping of important documents.

9. Customer Service:
· Ensure excellent customer service by addressing customer concerns and resolving issues promptly.
· Implement strategies to enhance customer satisfaction and loyalty.
· Activities include registration, enquiries, updates, termination, and refunds.

Working Experience Requirements
· Preferable 1-2 years working experiences/internships
Skills Required
Must-have skills
· Proficiency in MS office applications eg VBA, PowerBI
· Advanced Excel (Power Query, PivotTables, macros)
Preferable skills
· QuickBooks or similar accounting/ERP systems for transaction-level finance tracking
· Familiarity with tariff schedules, HS codes, and trade classification systems
· Automated reporting & dashboards for trade KPIs, exports/imports, and market analysis
· Coding skills like JAVA/Python/ SQL / Languages spoken etc…
