Job Summary
The Sales Support Officer provides essential administrative support to ensure accurate processing of customer orders and effective communication with customers and internal teams. This role acts as a key contact point to prevent order loss and maintain smooth sales operations.
Responsibilities
- Administer paperwork for quotations, sales orders (SO), delivery orders (DO), delivery memos (DM), and invoices to ensure accurate documentation
- Manage customer emails daily, responding promptly and professionally regarding delivery schedules
- Handle customer complaints by identifying issues and providing timely resolutions to meet customer requirements
- Monitor and update sales schedules and follow up on customer sales activities internally
- Summarize and prepare weekly and monthly sales reports for review every Friday and at month-end
- Attend to customer calls and new inquiries, directing them to the appropriate sales personnel
- Input and update customer details such as address changes to maintain accurate records
- Arrange outbound shipment documents and coordinate with transporters, couriers, and parcel services
- Manage paper documents and communicate with inter-company teams for inbound and outbound transportation
- Perform letter collection duties as assigned
- Apply 5S principles to maintain an organized and efficient company environment
- Provide ad-hoc support for sales-related tasks as needed
- Maintain and file sales ISO documents to ensure compliance and easy retrieval
- Train new staff by leading their learning and development in sales support tasks
Required competencies and certifications
- Minimum 3-5 years of experience in a sales support role
- Nitec certification in Business Studies
- Ability to memorize and apply procedures and policies for individual customer sales contracts
- Excellent time management and prioritization skills to complete daily tasks independently
- Strong problem-solving skills to respond quickly and politely to customer issues via email and phone
- Adaptability to accept and implement changes in work procedures to suit evolving business needs
- Commitment to completing daily priority tasks such as SO, DO, and invoices without leaving work unfinished
- Ability to work a 5-day work week and manage daily priorities effectively

- Good memory and attention to detail in daily work tasks
