To provide administrative and operational support to the QHSE Department, ensuring that all safety documentation, compliance records, and reporting systems are maintained to industry standards (e.g., ISO 9001, 14001, and 45001).

Key Responsibilities

1. Documentation & Record Management

• Maintain and update the Safety Health Management System (SHMS) database.
• Organize and archive Risk Assessments, Method Statements (RAMS), and Safe Work Procedures.
• Track the validity of employee safety certifications and schedule renewals before they expire.

2. Reporting & Data Entry

• Input data from incident reports, near-misses, and safety observations into the tracking system.
• Assist in preparing weekly or monthly QHSE statistical reports (e.g., Lost Time Injury rates).
• Coordinate the collection of environmental data, such as waste disposal and energy consumption logs including legalisation required documents

3. Site & Audit Support

• Prepare "Safety Starter Packs" for new projects or site mobilizations.
• Assist during internal audits by retrieving necessary evidence and taking meeting minutes.
• Assist in investigation for incidents, near miss etc.
• Maintain the Corrective Action Tracking Register, following up with department heads to ensure "open" safety issues are closed out.

4. Training & Communication

• Coordinate safety inductions for new hires and subcontractors.
• Manage the inventory of Personal Protective Equipment (PPE) and process orders for replacements.
• Update safety notice boards and digital signage with "Safety Alerts" or "Toolbox Talk" topics etc.

5. Any other QHSE related tasks assigned by superior.
