Job Description
- Basic + Completion Bonus
- Working Hours: Mon to Fri (8 am - 6 pm)
- Tenure: Contract (1 year + 1 year)
Job Scope:
- Provide finance and administrative support to the project management team.
- Ensure that project financial documentation, procurement and team administrative tasks are handled in a timely and efficient manner and in line with client’s guidelines.
Responsibilities:
- Prepare and maintain financial reports and updates for project management.
- Prepare weekly & monthly progress claims for submission to the client.
- Ensure that all project-related Financial and Administrative documents are accurate, up-to-date, and easily accessible.
- Assist in monitoring and forecasting of project budgets, expenses, and invoicing.
- Liaise with client and Internal HR department for all onboarding/offboarding onsite
- Assist in recruitment as required.
- Administer and manage the leave process, including tracking available leave balances and usage.
- Proactively notify project managers of any potential issues related to employees that may impact project timelines or deliverables.
- Coordinate the availability of resources, equipment, and materials required for project execution.
- Assist in generating regular project status reports, highlighting progress, milestones, and potential issues.
- Maintain records of suppliers and vendors, including contact information and agreements.
- Manage all external procurement activities.
- Create, organize, and maintain project documentation, including contracts, project correspondence, and reports.
- Assist in scheduling project activities, including meetings, and site visits.
- Schedule and coordinate internal project meetings, including agenda preparation and meeting minutes.
- Ensure that action items from meetings are documented and followed up on.
- Any other task assigned by Project Manager
Requirements:
- Minimum Diploma Holder
- Minimum 3 years work experience as a project administrator/project coordinator or similar role
- Proven experience in financial tracking and reporting.
- Expert proficiency in MS Excel and all other MS Suite applications
- Experienced in Google Workspace & Microsoft Office365
- Experienced in using Enterprise Resource Planning (ERP) software
- Basic accounting experience (AR & AP)
- Basic knowledge on procurement and logistics
