Job Description
Key Responsibilities
- Collaborate with Project Managers, Operations Managers, vendors, and stakeholders to develop and maintain detailed project budget reports at regular intervals (daily, monthly, quarterly, or as required).
- Align budget planning with project scope, timelines, and deliverables.
- Maintain and update budget and expenditure records in relevant systems or spreadsheets accurately and in a timely manner.
- Track and analyze actual project expenditures against approved budgets on a monthly, quarterly, and yearly basis.
- Conduct financial data analysis and prepare regular reports on budget utilization and expenditure for management review.
- Identify budget variances and provide explanations for forecast deviations.
- Develop financial data visualizations and dashboards to present insights, trends, and patterns clearly.
- Coordinate with stakeholders to ensure timely goods receipt and vendor payments within the financial year.
- Collect procurement documents such as purchase orders and certificates of completion from project teams and file them in the designated e-filing system.
- Act as the primary point of contact for budget-related inquiries and correspondence with internal and external stakeholders.
- Support management by organizing review meetings with project teams to monitor financial performance and maintain updated budget plans.
- Communicate budget updates, financial risks, and variances to stakeholders promptly and clearly.
- Perform administrative tasks including data entry, electronic filing, and data maintenance in designated templates, systems, and platforms.
- Organize, schedule, and coordinate meetings related to financial and budget matters.
- Consolidate and maintain asset accounting records.
- Work with Project Management Teams (PMTs) to organize, reconcile, and ensure accuracy of asset capitalization and accounting records.
Requirements
- Minimum 5 years of experience in budgeting, financial reporting, or project financial management.
- Strong proficiency in Microsoft Excel, including:
- VLOOKUP
- INDEX/MATCH
- Pivot Tables
- Macro programming (optional but advantageous)
- Experience with Microsoft SharePoint, including:
- Creation of web pages
- Customization of SharePoint lists
- Management of site permissions
- Proficiency in Microsoft PowerPoint for developing presentations and management reports.
- Experience with data visualization tools such as PowerBI, Tableau, or Qlik Sense for creating dashboards and financial reports.
