Job Summary

We are seeking a reliable and detail-oriented Personal Assistant / Admin Executive (Generalist) to support daily office operations in the F&B sector. This role involves delivering administrative, basic accounting/bookkeeping, and HR-related support to management, ensuring seamless business operations.

Responsibilities

  • Provide comprehensive administrative and secretarial support to management to facilitate efficient daily operations
  • Manage schedules, appointments, meetings, and correspondence to optimize management’s time and priorities
  • Organize and maintain filing systems, documentation, data entry, and accurate record keeping for operational transparency
  • Coordinate effectively with vendors, suppliers, and service providers to support business needs and maintain strong partnerships
  • Assist with simple bookkeeping and accounts administration to ensure accurate financial tracking
  • Prepare invoices, receipts, and monitor payment status to support timely financial transactions
  • Record daily expenses and maintain basic financial records to support financial oversight
  • Liaise with external accountants and payroll vendors to facilitate accurate accounting and payroll processing
  • Support month-end documentation and reporting to assist in financial closing activities
  • Assist with HR administrative tasks including maintaining leave records, attendance, and staff files to support workforce management
  • Coordinate recruitment activities and onboarding paperwork to ensure smooth hiring processes
  • Prepare basic HR documents such as employment letters, confirmations, and renewals to maintain compliance and communication
  • Assist with payroll preparation and CPF submissions to support timely employee compensation
  • Manage general office administration and inventory supplies to maintain an organized work environment
  • Handle monthly payroll processing to ensure accurate and timely salary disbursement

Preferred competencies and qualifications

  • Experience supporting HR or payroll administration to enhance workforce management efficiency
  • Familiarity with accounting or payroll software to improve accuracy and streamline financial processes
  • Experience working in a new startup environment to adapt quickly to dynamic business needs
