Job Description
Job Title: Operations and Vendor Support Specialist (Global ITAM)
About the Role
We are looking for a highly organised and detail-oriented
individual to join our Global IT Asset Management (ITAM) team. This role
focuses primarily on processing ITAM orders across multiple countries and
ensuring clear, timely coordination between clients, warehouse partners and
logistics vendors.
The role also provides structured support during vendor onboarding as the
company expands into new regions.

Key Responsibilities
1. Order Processing and Coordination
- Receive and review outbound, return and internal transfer orders from clients.
- Verify order details such as serial numbers, device information, addresses and contact details.
- Prepare and upload accurate Excel import templates into the ITAM system.
- Communicate order instructions to warehouse partners and logistics providers through Teams, email or the system.
- Actively follow up on each order until completion, ensuring every step is clearly documented.
- Collect tracking numbers, delivery confirmations or proof of return.
- Escalate delays or exceptions to internal teams when required.
- Maintain organised records of all order communications and statuses.
2. Vendor Onboarding Support
- Assist in identifying and sourcing potential vendors for new countries.
- Conduct initial outreach to gather rate cards, capability details and service coverage.
- Prepare structured comparison sheets to support internal decision-making.
- Arrange introductory calls between vendors and internal stakeholders.
- Follow up with vendors on missing information or documents.
- Organise vendor proposals and materials in a clean, accessible structure.
Requirements
- Strong organisational skills and a preference for structured documentation.
- High attention to detail with accuracy in data handling.
- Proficiency in Excel (sorting, filtering, formatting, basic formulas).
- Clear and professional written communication skills.
- Comfortable communicating via Teams, email and internal systems.
- Able to coordinate across time zones and manage multiple orders simultaneously.
- Experience in operations, logistics coordination or administrative support is an advantage.
- Self-driven, dependable and able to follow through on tasks independently.
