Job Description

Provide administrative support to the Operations and Commercial teams to ensure smooth daily activities.
Prepare, review, and maintain operational documents, including work orders, service reports, job completion reports, and timesheets.
Assist in the preparation of quotations, cost estimates, purchase orders, and invoices in coordination with the Commercial team.
Coordinate with vendors, subcontractors, and internal departments for job execution and documentation.
Track job progress, manpower deployment, and material usage, and update relevant records.
Maintain proper filing and documentation for contracts, agreements, invoices, and supporting documents.
Support the Operations team in logistics coordination, including mobilization, permits, passes, and site access requirements.
Monitor and follow up on commercial matters, such as invoice submission, payment status, and client correspondence.
Prepare weekly and monthly reports related to operations performance, costs, and billing status.
Ensure compliance with company procedures and assist during audits, inspections, and management reviews.
Handle general administrative duties, including email correspondence, scheduling meetings, and record keeping.
Liaise with clients, suppliers, and internal stakeholders in a professional manner.
