Job Description
Job Responsibilities:
Policy and Process Development: Participate in the formulation, revision, and communication of the company’s administrative policies, procedures, and standards, and promote their effective implementation to enhance operational standardization.
Information System Support: Assist in advancing the company’s digitalization initiatives, with a focus on participating in the development, optimization, and day-to-day coordination of business systems such as the LNG trading management system.
Document and Records Management: Be responsible for the circulation, filing, and standardized management of corporate documents, ensuring compliance, timeliness, and completeness of records.
Company Seal and Execution Control: Manage the proper use and log of company seals, strictly enforce approval procedures for seal usage, and mitigate compliance risks.
Meeting Organization and Coordination: Coordinate the arrangement of the General Manager’s Office Meetings and other key meetings, including issuing notices, providing logistical support, preparing meeting minutes, and tracking follow-up actions.
Daily Administrative Operations: Provide comprehensive administrative support, including office environment management, coordination of cleaning and greenery services, procurement and management of office supplies, and vehicle scheduling and administration.
IT and Office Equipment Management: Oversee daily office IT support, including employee account setup and access control, configuration and maintenance of office equipment, and coordination with external service providers.
Business Travel and Administrative Support: Provide administrative support for official business travel, liaise with travel agencies for visa applications, flight and hotel bookings, and assist in drafting travel applications and related documentation.
Corporate Culture and Employee Engagement: Participate in corporate culture development, organize team-building and festive activities, and regularly prepare and submit corporate publicity and communication materials.
Education
Diploma and above (Major in Business Management/ human resources/Accounting/ Finance and other related majors)
Experience
3+ years' relevant working experience for diploma holders and 2+ years' relevant working experience for bachelor degree holders.
Requirement
- Capable of listening, speaking, reading and writing in Chinese. Proficiency in Chinese is a must to deal with China Vendor and HQ
- Familiar with the collection of company files and processing skills of administrative affairs
- Familiar with computer software such as word, excel, PowerPoint and related systems and software
- Strong in execution and interpersonal communication and negotiation
- Have excellent management ability and organization and coordination ability
- Have clear logical thinking and strong language and writing skill
- With team spirit as well as an independent worker
