Job Summary
You will provide administrative and coordination support within the project team, managing project paperwork, coordinating personnel onboarding and offboarding, and maintaining project documentation to ensure smooth project operations.
Responsibilities
- Manage and process administrative paperwork related to project activities to ensure accuracy and timely completion
- Attend project meetings and prepare detailed minutes of meeting (MOM), capturing action items and distributing them to relevant stakeholders
- Coordinate onboarding and offboarding processes for project personnel, including arranging system access and equipment provisioning
- Escort personnel within restricted or secured zones while following established security protocols
- Maintain and update project records and documentation repositories to support project tracking and compliance
- Liaise with building management and security teams to arrange access passes, visitor registrations, and facility requests
- Track administrative requests and approvals, following up to ensure timely resolution
- Support logistics for meetings and events, including room bookings and equipment setup
- Perform ad-hoc administrative duties as assigned to support project needs
Required competencies and certifications
- Proficiently use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to prepare documents, reports, and presentations
- Apply strong organizational skills to manage multiple administrative tasks with attention to detail
- Handle sensitive and confidential information with discretion and professionalism
