About the Role
We are looking for a proactive and detail-oriented Operations & Admin Executive to support day-to-day operations, service request coordination, and documentation processes. This role combines administrative support, IT operations coordination, and process documentation, making it ideal for candidates who enjoy structured work, stakeholder coordination, and continuous improvement initiatives.
You will play a key role in ensuring smooth operations by managing requests, maintaining records, supporting meetings, and contributing to process standardization.
Key Responsibilities
Operations & Service Coordination
- Manage, process, and track service requests and queries from divisions and contractors.
- Support verification of products and services procurement.
- Provide IT operations support as required.
- Identify opportunities to improve and automate day-to-day operational processes.
Administrative & Secretariat Support
- Provide administrative support for meetings, training sessions, and events, including logistics and reporting.
- Perform secretariat duties for meetings chaired by senior management (e.g. minutes taking, coordination, follow-ups).
Data & Records Management
- Perform data management and documentation tasks as part of the records management function.
- Maintain accurate and well-organised records, trackers, and documentation.
Process Documentation & Quality Management
- Develop and maintain Standard Operating Procedures (SOPs), workflows, and process documentation.
- Support Quality Management System (QMS) initiatives to ensure consistency and compliance.
Other Duties
- Support ad-hoc projects and operational tasks as assigned.
Requirements
- Minimum Diploma qualification in any discipline.
- Some exposure to IT or systems-related work will be an added advantage.
- Strong verbal and written communication skills.
- Good analytical, problem-solving, and organisational abilities.
- Meticulous with strong documentation and record-keeping skills.
- Proactive, positive attitude with willingness to learn and adapt.
Skills & Competencies
- Strong coordination and multi-tasking abilities in a fast-paced environment.
- Ability to work both independently and as part of a team.
- Comfortable handling data, documentation, and process tracking.
- Interest in process improvement and automation is advantageous.
