Job Description:
The Human Resources Executive supports a wide range of HR functions within the organisation. This role is responsible for recruitment, employee relations, onboarding, records management, and ensuring HR compliance. The position also contributes to maintaining a supportive and culturally inclusive workplace environment. The ideal candidate should have experience working in an international or multicultural setting and be able to handle HR matters with professionalism, discretion, and cultural awareness.
Job Responsibilities:
Recruitment & Onboarding
- Assist with the full recruitment process for both academic and non-academic staff, including international hires where applicable.
- Coordinate interview arrangements, reference checks, preparation of employment contracts, and visa/work permit documentation.
- Support the planning and delivery of onboarding activities to help new staff transition smoothly into the school environment.
HR Operations & Records
- Maintain accurate and up-to-date staff records, including contracts, personal files, and leave records, in line with data protection requirements.
- Track key employment milestones such as contract renewals, probation reviews, and visa expiry dates.
- Update and manage HR databases and prepare reports when required.
Employee Relations
- Serve as a point of contact for staff enquiries, supporting a respectful, inclusive, and positive workplace culture.
- Assist in staff welfare initiatives, engagement activities, and internal communication.
- Provide support in handling employee relations matters, including disciplinary processes and conflict resolution, in accordance with school policies and local labor regulations.
Compliance & Policy Implementation
- Ensure HR processes align with local employment regulations, safeguarding requirements, and school policies.
- Support the review and implementation of HR policies and procedures.
- Assist in preparing documentation for audits, inspections, and regulatory compliance.
Training & Development
- Coordinate professional development activities and maintain accurate training records.
- Assist in organising workshops, INSET days, and other staff development initiatives.
Requirements:
- Diploma in Human Resources, Business Administration, or a related field.
- Minimum 2–3 years of HR experience, ideally within an international school or multicultural organization.
- Knowledgeable of Singapore government compliance – MOM, IRAS, SSG etc.
- Familiarity with international hiring processes, relocation, and visa procedures is a strong advantage.
- Excellent verbal and written communication skills in English; other languages are a plus.
- Strong interpersonal skills, cultural sensitivity, and a collaborative work style.
- High attention to detail and confidentiality in handling personnel matters.
- Proficiency in MS Office, HR and payroll software, and digital documentation systems.
- Experience in an international school or education sector.
- Knowledge of safeguarding practices and child protection policies.
- Adaptability and resilience in a fast-paced, diverse educational environment.
- Positive attitude, initiative, and a strong sense of integrity and service.
