Job Description

Facility Manager – Roles & Responsibilities

A Facility Manager is responsible for the overall management, maintenance, and smooth operation of buildings and facilities, ensuring a safe, efficient, and well-maintained environment.

1. Operations Management

  • Oversee daily facility operations, including cleaning, maintenance, security, and support services
  • Ensure all services are delivered as per client requirements and service standards
  • Manage scheduling, manpower planning, and resource allocation

2. Maintenance & Repairs

  • Supervise preventive and corrective maintenance of equipment, systems, and infrastructure
  • Coordinate with vendors and contractors for repair works
  • Ensure minimal downtime and quick resolution of issues

3. Staff Supervision

  • Manage and supervise cleaning staff, technicians, and support personnel
  • Conduct training, attendance monitoring, and performance evaluations
  • Ensure proper grooming, discipline, and adherence to company policies

4. Health & Safety Compliance

  • Ensure compliance with workplace safety regulations and standards
  • Conduct regular inspections and risk assessments
  • Implement safety procedures and emergency response plans

5. Quality Control

  • Monitor service quality and ensure standards are consistently met
  • Conduct routine audits and inspections
  • Address client feedback and implement improvements

6. Client Relationship Management

  • Act as the main point of contact for clients
  • Handle client queries, complaints, and service requests
  • Maintain strong professional relationships and ensure client satisfaction

7. Vendor & Contract Management

  • Manage third-party service providers and suppliers
  • Ensure vendors meet contractual obligations and service levels
  • Monitor costs and approve invoices

8. Budgeting & Cost Control

  • Prepare and manage facility budgets
  • Monitor expenses and optimize operational costs
  • Ensure cost-effective procurement and resource utilization

9. Reporting & Documentation

  • Maintain records of operations, maintenance, and incidents
  • Prepare regular reports for management and clients
  • Ensure proper documentation of compliance and audits
