Job Description

Overall Role

Responsible for managing and coordinating all dormitory-related matters for company workers, ensuring compliance with MOM regulations, proper accommodation standards, and smooth daily operations.

Key Responsibilities

1. Dormitory Management & Coordination

  • Coordinate worker accommodation arrangements across all approved dormitories.
  • Maintain up-to-date records of worker dormitory assignments, room numbers, and bed allocations.
  • Liaise with dormitory operators on check-in, check-out, transfers, and availability.
  • Monitor dormitory conditions and escalate issues relating to cleanliness, safety, or overcrowding.

2. Worker Check-In / Check-Out Administration

  • Arrange dormitory check-in for new hires and returning workers.
  • Coordinate check-out for resigning, terminated, or repatriated workers.
  • Ensure dormitory clearance is completed before final payroll processing.

3. Compliance & Regulatory Matters

  • Ensure all dormitory arrangements comply with MOM housing requirements.
  • Support audits, inspections, or spot checks by MOM or other authorities.
  • Maintain records for dormitory declarations, occupancy limits, and supporting documents.

4. Cost Control & Reporting

  • Track dormitory rental costs by worker and by project (where applicable).
  • Prepare monthly dormitory cost reports for Management and Finance.
  • Verify dormitory invoices and support Finance with reconciliation and payment follow-ups.

5. Worker Welfare & Issue Resolution

  • Handle worker feedback and issues related to accommodation.
  • Coordinate with Operations and HR to resolve dormitory-related disputes or incidents.
  • Assist in emergency arrangements (medical cases, transfers, disciplinary cases).

6. Internal Coordination

  • Work closely with HR on worker movement, onboarding, and termination.
  • Coordinate with Operations on site deployment and dormitory logistics.
  • Support Management with dormitory planning during manpower fluctuations.

7. Documentation & Record Keeping

  • Maintain proper filing of dormitory agreements, invoices, clearance forms, and MOM-related records.
  • Ensure dormitory data is accurately updated in the HR/ERP system (e.g. Synergix).
