About the Role
We are seeking a committed and detail-oriented Contracts Coordinator to support the commercial and coordination functions of loose & system furniture projects.
This role involves preparation of quotations, cost breakdowns, claims, variation orders, invoices, delivery documentation, and project commercial records, while coordinating closely with suppliers, installers, clients, designers, and internal project teams. It is suitable for candidates with experience in contracts coordination, quantity surveying support, costing, or interior fit-out / furniture-related commercial support.
The position offers exposure to both back-end commercial administration and selected front-end showroom / client support responsibilities, making it a well-rounded opportunity for candidates seeking longer-term growth in the industry.
Key Responsibilities
- Prepare cost estimates, itemised quotations, and pricing breakdowns for loose and system furniture works
- Conduct quantity take-off / measurements and verify scope against project drawings and site conditions
- Prepare, compile, and submit progress claims based on agreed milestones
- Manage variation orders (VO), including pricing, documentation, approvals, and claim submissions
- Issue invoices / tax invoices, verify supporting documents, and maintain proper invoicing records
- Prepare warranty certificates and related documentation
- Prepare Delivery Orders (DO) and ensure accuracy of all details, including client information, item descriptions, quantities, specifications, delivery schedule, site address, and remarks
- Maintain and update quotation tracker, claim tracker, VO tracker, invoice log, GST report, and related documentation
- Liaise with suppliers and installers on pricing, scope clarification, and lead time coordination
- Support project team in cost control and margin tracking
- Attend showroom visits when required to understand client / designer requirements, prepare materials, support basic product introduction, and prepare follow-up proposals and quotations
Requirements
- Minimum 3 years of relevant experience in interior fit-out, furniture works, contracts administration, costing, QS support, or related field
- Familiarity with loose and system furniture projects will be an advantage
- Able to carry out quantity take-off and verify scope from drawings and site information
- Experience in quotations, claims, VO, invoicing, and project documentation
- Proficient in Microsoft Office applications, especially Excel and Word
- Good coordination, communication, and administrative skills
- Meticulous, organised, and able to work independently
