Job Description

Role Overview

The Assistant Operations Manager supports the Operations Manager in overseeing production operations, machinery maintenance, facility management, and regulatory compliance.

This role requires a strong operational and technical mindset, with the ability to coordinate across production, maintenance, logistics, and administrative teams to ensure the factory runs safely, efficiently, and in compliance with regulatory requirements.

Key Responsibilities

Production Operations

  • Assist in managing daily production activities to ensure orders are completed on time and according to customer specifications
  • Co-ordinate production schedules and prioritize orders based on delivery commitments
  • Monitor production performance and identify bottlenecks or inefficiencies
  • Ensure optimal utilization of machinery, manpower, and materials

Machinery Maintenance & Equipment Reliability

Assist in ensuring all production machinery is properly maintained and kept in optimal operating condition
Support the implementation of preventive maintenance schedules for key equipment such as:

  • Corrugator machines
  • Printing machines
  • Die-cutting machinesFolder-gluers
  • Coordinate with technicians and external service providers for machine servicing and repairs
  • Monitor machine downtime and equipment reliability
  • Maintain maintenance logs and ensure proper documentation of repairs and servicing
  • Support troubleshooting of operational issues to minimize production disruption

Regulatory Compliance & Facility Management

Assist in ensuring the factory complies with relevant Singapore regulatory requirements, including:

  • NEA (National Environment Agency) regulations
  • PUB (Water and drainage requirements)
  • SCDF (Fire safety and emergency preparedness)
  • Workplace Safety and Health (WSH) regulations
  • Support maintenance of required licenses, permits, and compliance documentation
  • Assist in preparing for regulatory inspections and audits
  • Ensure factory facilities, storage areas, and waste management practices comply with environmental and safety regulations
  • Work with relevant vendors and contractors to maintain factory infrastructure and utilities

Quality Management

  • Work closely with QA personnel to ensure products meet quality standards and customer specifications
  • Assist in investigating quality issues, defects, and customer complaints
  • Support implementation of corrective and preventive actions (CAPA)

Inventory & Materials Coordination

  • Coordinate with warehouse and procurement teams to ensure adequate raw material supply
  • Monitor usage of paper rolls, inks, adhesives, and packaging materials
  • Assist in maintaining proper inventory control and minimizing material wastage

Team Supervision

  • Support supervision of production supervisors, operators, and maintenance personnel
  • Assist with manpower planning and shift coordination
  • Promote a safe and disciplined work environment

Safety Management

  • Promote compliance with workplace safety policies and procedures
  • Support safety initiatives including:
  • Risk assessments
  • Safety training
  • Incident reporting and investigation
  • Ensure proper housekeeping and adherence to 5S practices on the production floor

Reporting & Documentation
Prepare operational reports such as:

  • Production performance
  • Machine utilization
  • Maintenance records
  • Quality metrics
  • Maintain proper documentation for operational, maintenance, and regulatory compliance purposes

Requirements

Education

Diploma or Degree in:

  • Mechanical Engineering
  • Industrial Engineering
  • Manufacturing / Operations Management
  • Or related discipline

Experience

  • 3–6 years of experience in manufacturing operations
  • Experience in corrugated carton, printing, packaging, or paper industry preferred
  • Experience in machinery maintenance coordination or factory facility management is an advantage

Skills & Competencies

  • Strong understanding of manufacturing operations and production processes
  • Basic knowledge of industrial machinery maintenance
  • Familiarity with Singapore regulatory compliance (NEA, PUB, SCDF, WSH) is advantageous
  • Strong problem-solving and coordination skills
  • Good communication and leadership abilities
  • Proficiency in Excel and operational reporting
