Job Description
REPORTS TO: Director of Student Recruitment
JOB GOAL: The Admissions Executive will be responsible for the complete admissions cycle from beginning to the end. The AE will do this through the highest level of customer service and getting to know each family’s unique needs and situations.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Manage the complete admission process (inquiry, tour, pre-course counseling, application, review, acceptance, and onboarding).
- Represent ICS’s Mission, Vision, and Core Values to prospective students and parents.
- Conduct school tours for interested prospects and treat every lead as a prospective student.
- Ensure timely communication via one-on-one meetings, school tours, phone calls, and email with prospective families.
- Be aware of and responsive to the many special circumstances associated with international education.
Explanation of the American education system to those coming from other systems. Knowledgeable on the difference between an AP system and IB system.
Explanation of the credit system to grade 8-12 students.
Identify dual citizenship situations, Singapore citizens, PRs, etc and explain the associated enrollment implications.
Explain the procedure for acquiring a student pass as needed
- Record and report accurately and timely information on the school’s CRM and admission software to track all leads and actively manage them through the process.
- Effectively participate in school initiatives to drive student recruitment and enrolment opportunities.
Point of contact from inquiry to enrolment:
Responsible for fielding, filtering and effectively responding to all inquiries.
Undertake regular and timely follow-up to all inquiries, visits and applications to meet minimum response times.
Process student applications through to acceptance or rejection.
Arrange and possibly administer any appropriate testing for the admissions process.
Cascade information in a timely manner about student application to all staff involved in the admissions approval process.
Tour management:
Be customer-focused, every inquiry is a potential student.
Manage the tour calendar and plan time appropriately.
Respond rapidly to drop-in requests for a tour.
Ensure up to date product knowledge, by continually reviewing and seeking out information on the school and its offerings.
Admissions process:
Follow admission policies and continually develop best practices in terms of operations and delivery
Be aware of the ICS story and convey this to all potential families.
Keep up to date on the international school environment in Singapore.
Ensure all admission meeting areas and tour routes are delivering a high-quality experience.
Admission reporting:
Maximize the use and knowledge of the school CRM and application software.
Manage all prospective students through CRM and application software.
Assist in producing reports as required.
Communication and customer service:
Build and develop strong relationships with ICS leadership, faculty and staff.
Develop parent liaison and relationships ensuring that word of mouth comments are positive.
Positively represent the school at all times.
Provide focused and high-quality customer service at all times.
Admissions and School events:
Coordinate with principals and academic office to support all school orientation events.
Represent the school and lead recruitment efforts at ICS Open Houses (on-campus and virtual), school-sponsored events, and international school fairs to engage prospective families and drive enrollment (may include evenings or weekends).
Any other duties as directed by the supervisor.
Qualifications:
College graduate: educational background or international school background preferred.
Minimum 3 years of past work experience in a related field.
Excellent communication skills with adults and students.
Proven project management skills including teamwork, ability to balance multiple personal responsibilities, and attention to detail.
Working knowledge of office software applications and the ability to learn ICS specific IT tools: student information management software, admissions management software, etc.
Excellent customer service skills: phone, email, and face-to-face.
Proficiency in spoken and written English.
An individual who is in alignment with the school’s mission and statement of faith.
