Job Summary

You will support site operations by maintaining documentation, managing work permit applications, coordinating procurement, and facilitating communication among contractors to ensure smooth project execution.

Responsibilities

• Maintain and update site documentation, permits, manpower logs, safety records, delivery orders, and equipment registers to ensure accuracy and currency
• Manage site entry processes to support staffing requirements
• Coordinate correspondence between main contractors, consultants, and subcontractors to ensure clear communication and resolve issues
• Monitor attendance, timesheets, and leave records to maintain accurate workforce data
• Assist in preparing site reports, progress claims, and work schedules to support project tracking and reporting
• Enter data for GST, petty cash, and invoices to maintain financial records
• Prepare and submit claims reports to support project billing
• Support the Admin Manager with administrative tasks, meeting coordination, and report submissions to improve project management efficiency

Preferred competencies and qualifications

• Use resources to process work permit applications and manage personnel for efficient site staffing
• Apply Microsoft Office (Word, Excel, Outlook) and document control systems to organize and manage site documentation
• Organize multiple administrative tasks efficiently in a fast-paced environment
• Communicate effectively and collaborate with site stakeholders to support project coordination
• Communicate in Mandarin to facilitate clear communication with stakeholders
