We are a trading company specializing in the trading of OSAT, SMT and Semiconductor Products. We are seeking a dedicated and detail-oriented Shipping Executive with experience in shipping documents, invoicing, purchase orders (PO), delivery orders (DO), and related tasks. As a shipping executive, you will be responsible for providing excellent customer service, coordinating shipping and logistics activities, and ensuring smooth order processing and documentation. Your expertise in shipping and logistics operations will contribute to the overall efficiency of our business and enhance the customer experience.

Responsibilities:

• Act as the primary point of contact for customers regarding shipping and logistics inquiries, order status, and related documentation.
• Ensure accurate and timely processing of purchase orders (PO), delivery orders (DO), invoices, and other shipping documents.
• Coordinate with internal teams, suppliers, and logistics partners to schedule shipments, track deliveries, and resolve any shipping-related issues.
• Verify shipping instructions, shipping terms, and ensure compliance with relevant regulations and documentation requirements.
• Collaborate with the sales team to provide timely updates on order status, shipment schedules, and any potential delays or issues.
• Communicate proactively with customers to address any concerns, provide shipment tracking information, and ensure customer satisfaction.
• Resolve customer complaints or discrepancies related to shipping, invoicing, and documentation, in a professional and timely manner.
• Maintain accurate records of shipping and logistics activities, including documentation, tracking numbers, and delivery confirmation.
• Assist in inventory management, including stock monitoring, reconciliation, and coordinating stock replenishment as needed.
• Collaborate with the finance department to ensure accurate and timely invoicing, payment reconciliation, and financial documentation.
• Stay updated on shipping regulations, customs requirements, and industry best practices to ensure compliance and optimize shipping processes.
• Provide suggestions and recommendations for process improvements to enhance operational efficiency and customer satisfaction.

Requirement:

• High School / Diploma / Degree in Business, Logistics, or a related field is preferred.
• Proven work experience as a Shipping Executive / Customer Service Representative or in a similar role, preferably in the shipping and logistics / Semiconductor industry.
• Familiarity with shipping documents, such as purchase orders (PO), delivery orders (DO), invoices, and customs documentation.
• Strong knowledge of shipping and logistics processes, including familiarity with shipping terms, Incoterms, and customs regulations.
• Strong attention to detail, organizational skills, and the ability to multitask in a fast-paced environment.
• Proficiency in using computer systems and software applications related to customer service, shipping, and documentation (e.g., MS Office, ERP systems).
• Ability to work independently, prioritize tasks, and meet deadlines in a time-sensitive environment.
• Proficiency in English and Chinese to liaise with Chinese speaking associates.
