We are seeking a detail-oriented and proactive Senior Executive, Leasing to join our dynamic team in Singapore. The ideal candidate will be responsible for handling end-to-end retail lease administration and supporting leasing strategy and negotiations. This role requires strong coordination skills, an eye for detail, and the ability to manage multiple stakeholders across internal teams, tenants, and external vendors.
Key Responsibilities
Retail Lease Administration
- Prepare a full suite of leasing documentation, including term sheets, Letters of Intent, license and lease agreements, surrender and variation agreements, and move-in/move-out forms.
- Complete ACRA and AML checks of incoming tenants prior to lease execution.
- Coordinate the review, circulation, and execution of lease documents with internal departments and external stakeholders.
- Manage document stamping and ensure secure custody of all executed agreements.
- Maintain and regularly update tenancy schedules, DRN systems, Excel trackers, and other leasing records.
- Track and file expenses related to tenancy alterations.
- Generate monthly lease expiry reports and update transaction summaries on a half-yearly basis.
- Assist in preparing annual budgets and reforecast templates.
- Review, file, and send monthly Notices to Option (NTO), including annual NTO reminder letters
- Track and update tenant sales performance report on a quarterly basis
- Prepare and send bi-annual sales data letter to relevant tenants, and annual reminder letters to tenants for submission of auditor reports and/or director’s annual statuary declaration
- Proactive in sharing information with the relevant department(s) and ensure the organized filing and safekeeping of data and information.
- Log new leasing enquiries and confirmed deals into the leasing management system.
- Ensure accurate tenant data entry into the Tenancy Management System (TMS) to support Property Management operations.
- Liaise and negotiate with tenants on lease terms, renewals, and associated documentation.
- Coordinate with external vendors, including legal counsel and data providers, to support lease execution and compliance.
- Follow up, arrears management on outstanding payments and missing sales turnover submissions from tenants.
- Support the preparation of reports and presentations for monthly Asset Performance meetings.
- Prepare and update, minutes for weekly leasing meetings and requests for approval for leasing deals.
- Coordinate with agents for the submission of agency forms and verify commission invoices for completed deals.
- Ensure full compliance with the Code of Conduct for leasing documentation. Where deviations occur, support the preparation and submission of Joint Declarations of Deviation to the Fair Tenancy Industry Committee (FTIC) within the required timeline.
Leasing Strategy & Negotiation
- Assist the Assistant Manager with research and prospect profiling, including brand overviews and product imagery.
- Provide support in the process of securing new / replacement / renewing tenants including collating/updating building & tenant information, management of cold-calling database & lists, attending to enquiries, preparing vacancy listings, scheduling of appointments/viewings and venue preparation.
- Contribute to the development and enhancement of the overall tenancy mix strategy.
- Independently manage and negotiate selected lease renewals from initiation to completion.
- Handle leasing interest, schedule agent viewings, and oversee offer submissions from prospective tenants.
Marketing Responsibilities
- Plan, organize and execute marketing campaigns, events and promotions to attract and engage mall visitors and drive portfolio community engagement.
- Coordinate with vendors, partners, and internal teams to ensure seamless execution of marketing activities.
- Handle invoicing and payment processes for marketing-related expenses.
- Monitor and analyse the performance of marketing campaigns and events, provide insights and recommendations for improvement.
- Collaborate with the digital marketing team to enhance online presence and drive traffic to the mall.
- Stay updated with industry trends and best practices to ensure innovative and effective marketing strategies.
- Ensure the timely renewal of all necessary licenses and permits required for mall marketing activities.
Qualifications
- Diploma or Degree in Real Estate, Business, or a related field.
- At least 3 years of relevant leasing experience in retail or commercial property.
- A valid CEA licence would be an added advantage.
- Strong understanding of lease documentation and tenancy management.
- Excellent organizational, coordination, and negotiation skills.
- Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with tenancy management systems is an advantage.
- Strong communication and interpersonal skills to manage stakeholders and tenants effectively.
