• Receive and process sales orders from the Sales team and customers.

• Coordinate customer requirements including:

  • Product specifications

  • Volume, packaging, and delivery timelines

  • Pricing and commercial terms (as approved)

• Serve as the main point of contact for customers on order status, delivery updates, and documentation matters.

• Support Sales in preparing quotations, order confirmations, and follow-up communications.

• Liaise closely with Production teams to:

  • Confirm material availability and timelines

  • Align production schedules with confirmed sales orders

  • Communicate customer specifications clearly to operations

• Monitor production progress and flag any risks to timelines, quality, or quantity.

• Coordinate adjustments when customer requirements or production conditions change.

Order Management & Tracking

• Create and maintain accurate sales order records in the ERP system .

• Track orders from confirmation through production, packing, shipment, and delivery.

• Ensure order quantities, batch details, and timelines are properly aligned across teams.

• Proactively identify gaps or discrepancies and coordinate resolution.

Documentation & Compliance Support

• Coordinate preparation of sales and shipping documents

• Ensure documentation aligns with approved commercial terms and customer requirements.

• Support internal and external compliance checks related to exports and customer deliveries.

Internal Communication & Reporting

• Act as the communication bridge between Sales, Farm, Production, Logistics, and Finance.

• Provide regular order status updates to Sales and Management.

• Escalate issues in a timely manner with clear facts and proposed solutions.

• Maintain proper filing and documentation for audit and internal control purposes.
