Job Description

PURCHASING ASSISTANT

Reporting to:

Purchasing Manager

Responsible for sourcing, managing, and processing purchase orders (POs) to ensure accuracy, cost efficiency, and timely delivery. Reviews PO claims, supports contract negotiations, and ensures materials meet technical specifications, performance standards, and budget requirements while maintaining approved inventory levels.

Main Job Tasks & Responsibilities

  1. Source quotations from suppliers and contractors and conduct price comparisons to ensure competitiveness.
  2. Receive and process purchase requests from project teams and carpenters according to approved procurement lists.
  3. Prepare, update, and maintain purchase orders using customized procurement systems.
  4. Ensure timely processing and delivery of orders in line with project schedules.
  5. Liaise with suppliers, contractors, and internal stakeholders to facilitate smooth procurement operations.
  6. Compile material specifications and costing data for pricing evaluation.
  7. Manage all project-related orders and ensure POs are issued within required timelines.
  8. Continuously source alternative materials and suppliers to improve cost efficiency and profitability.
  9. Procure materials for inventory replenishment and stock control.
  10. Resolve PO discrepancies and errors promptly.
  11. Maintain systematic filing and documentation of purchasing records.
  12. Monitor price fluctuations and communicate changes where necessary.
  13. Negotiate pricing and payment terms with suppliers and contractors.
  14. Maintain an up-to-date database of supplier pricing and material specifications.
  15. Participate in ad hoc projects and administrative duties as assigned.
  16. Attend meetings including project kick-offs and coordination sessions.
  17. Perform other duties as required by management.

Requirement

-Diploma Related to Procurement, Supply Chain, Engineering

-2-3 yrs Exp. - Interior Fitting Out / Construction

-good in report writing and analysis, with skills in negotiation

-ms office literate/or any other procurement software
