About the Role
Our client is seeking a detail-oriented and analytical Purchase Executive to support procurement and inventory operations. This role is ideal for someone with strong data management and Excel skills who is comfortable handling purchasing processes, supplier coordination, and inventory tracking within the F&B industry.

The successful candidate will play an important role in ensuring smooth procurement operations while maintaining accurate purchasing and inventory data.

Key Responsibilities

Database & SOP Management

• Maintain and update the supplier database, including supplier contacts and person-in-charge information.
• Maintain and update stock lists, including cost and selling prices.
• Update and maintain SOPs related to purchasing, ordering, and internal delivery processes.
• Support data migration and consolidation of procurement and inventory records when required.

Purchasing & Ordering

• Liaise with Outlet Managers to process orders for products, kitchenware, packaging materials, and operational supplies.
• Negotiate with suppliers to obtain the new best pricing, quality and terms.
• Conduct market research to identify new products and potential suppliers.
• Source alternative products when items are unavailable.
• Coordinate with suppliers regarding product issues, shipping, and delivery matters.
• Work closely with Chefs on ordering key ingredients such as salmon and sake.

Inventory Management

• Design, implement and maintain an effective inventory tracking system to optimise stock.
• Record daily deliveries and shipments to ensure accurate inventory updates.
• Prepare documentation for stock takes and ensure proper stock-taking procedures are followed.
• Perform stock checks and reconciliation when required.

Reporting

• Prepare reports and analyses related to inventory operations, stock levels, and adjustments.
• Maintain accurate records to support purchasing and inventory decisions.

Other Duties

• Perform ad-hoc duties as assigned by management.
• Communicate and coordinate with Outlet Managers and the marketing department.
• Travel to outlets when necessary to support procurement and inventory processes.

Qualifications & Requirements

• Minimum 2-3 years of experience as a Purchase Executive within the F&B industry.
• Strong analytical and data management skills, with the ability to handle large datasets.
• Proficient in Microsoft Excel, including functions such as VLOOKUP, data consolidation, and data migration.
• Good knowledge of Microsoft Office applications (Word, Excel, etc)
• Highly meticulous and detail-oriented.
• Strong multitasking and organisational skills.
• Comfortable travelling to outlets on a regular basis.
