Job Summary
The Project Administrator provides comprehensive administrative and secretarial support to project teams within the architectural practice. The role ensures efficient documentation control, front desk coordination, and adherence to internal procedures and quality standards.
Key Responsibilities
1. Administrative & Secretarial Support
- Provide full secretarial support including typing, editing, and formatting of reports, submissions, and project documentation
- Manage incoming and outgoing correspondence (emails, letters, courier items)
- Maintain systematic filing and retrieval of project documents in both digital and physical formats
- Support preparation of tender documents, reports, meeting minutes, and presentations
2. Document Control & Office Coordination
- Ensure proper document management in compliance with company housekeeping policies and QA standard
- Maintain accurate and up-to-date records of project documentation
- Liaise with internal departments to ensure smooth workflow and coordination
- Assist in maintaining general office organization and administrative systems
3. Front Desk & Reception Duties
- Serve as front desk receptionist when required
- Handle incoming calls, direct inquiries, and provide accurate information to visitors and stakeholders
- Manage visitor registration and maintain a professional front office presence
- Proactively suggest and implement improvements to administrative processes and workflows
- Support continuous improvement initiatives within the administrative function
- Maintain effective working relationships with management and colleagues across all levels
- Ensure all duties are performed in accordance with company procedures, standards, and regulatory requirements
- Provide administrative support for audits, submissions, and compliance documentation when needed
- Undertake ad hoc assignments and support operational needs as required
Required Competencies
- Able to work under pressure and meet the responsibilities of the role
- Proficient with Microsoft O365
- Effectively Bilingual for communication with clients/consultants/visitors
- Ability to manage and prioritize tasks and time efficiently
