Job Description

SAMH YouthReach

Objective:

The role is to assist Programme coordinator in ensuring continuous quality of the psychosocial programme and to work with the youth & families to promote youth’s mental wellbeing, enhances their strengths and reintegration back to the communities. To provide centre administrative support to ensure smooth running of the programme, to monitor and ensure quality of the programme

Duties & Responsibilities

Centre administrative support:

  • In charge of receiving, record and bank in the monthly membership fees and issuing receipts to the payer. To collate and submit the membership fees record and receipts to Finance department monthly. To ensure the membership fees database is correct and up to date.
  • In charge of issuing gift receipts to donors for donations and gifts received.  
  •   To assist Programme Head in collating outstanding membership fees records to seek for waiver.
  • In charge of ensuring asset records are up to date and to support Finance department in the yearly asset check.
  • To submit claims and invoices to the Finance department, adhering to the monthly timeline 
  • Attend to general email enquiries on volunteering opportunities, referrals, talks & community engagement 
  • Conduct screening and keeping referral record up to date
  • Key in referral information into the electronic Case Management System (eCMS)
  • To do regular check and ensure the office and domestic supplies are in stock
  • To ensure proper maintenance and upkeep of the centre equipment, such as fire extinguisher, copier, etc.
  • To review and update the administrative Standard Operating Procedures (SOP)

Psychosocial programme:

  • Assis Programme Coordinator in the planning and coordination of the psychosocial activities
  • Assis Programme Coordinator in the execution of the daily indoor and outdoor psychosocial activities  
  • Assist Programme Coordinator in planning of the quarterly family events
  • Assist Programme Coordinator in planning and executing cross-centre activities with the other youth services 
  • Keep track of youth’s monthly attendance and maintain programme-related statistics
  • Always ensure the safety and well-being of youth; handle and/or assist in crisis intervention
  • Inform RO of critical situations involving conflict, violence and other emergencies promptly
  • Help to cover Programme Coordinator's duties if staff is on long leave

Social Media (TikTok):

  • Involve in the planning, creating and posting of regular content that focuses on youth mental wellness and youth services on the SAMH TikTok platform 
  • Participate in the monthly TikTok team meeting with other youth services representatives

Other duties:

  • Assist and support ad hoc projects or SAMH community outreach events
  • To carry out any other duties assigned by the Head/Deputy Director

Educational/professional qualifications

Nitec/ Higher Nitec/Diploma in any discipline

Relevant work experience & no. of years

Min. 1 year experience in social sector is preferred.

Special knowledge, skills, language, etc.

- Some experience in administrative skills
- Proficient in excel, word and powerpoint
- Flexible and able to plan and execute projects and programmes
- Enjoy working with youth

Desired personal traits

·  Patient and passionate about working in social service and with persons with different special needs
- Meticulous and strong in keeping good records
- Ability to work in a team and possess good communicate skills – able to communicate with employers, co-workers and with management
- Willing to take on extra work scopes, when required

·   Responsible and have good time management.
