Job Summary

The Operations Manager is responsible for managing and coordinating all operational functions of the School, ensuring efficiency, compliance, and quality in facilities, services, and logistical operations. This role requires leadership, attention to detail, and the ability to collaborate with multiple teams and external vendors to support the School’s mission and values.

Responsibilities

Operations & Site Management

• Oversee procurement of supplies, materials, and equipment at the site level to maintain efficient inventory management
• Coordinate technology implementation projects, including planning, procurement, and staff training, to support operational needs
• Prepare and deliver operational reports and updates to the Head of School to inform decision-making
• Lead operational and logistical projects, especially for startup initiatives, to ensure timely execution
• Respond promptly to routine inquiries from parents, staff, and school stakeholders to maintain effective communication
• Manage fire drills, lockdown procedures, and health & safety compliance in collaboration with the Head of School to ensure campus safety
• Establish and maintain administrative practices that enable smooth daily operations

Domestic & Estates Management

• Ensure cleaning services meet school standards and provide staff training on safe equipment and product usage to maintain hygiene and safety
• Plan and oversee maintenance, repairs, renovations, and replacements of furniture, fixtures, and school equipment in consultation with the Head of School
• Manage school premises within budget while ensuring compliance with health, safety, and accessibility regulations
• Collaborate with facilities teams to allocate workloads, monitor performance, and identify operational improvements
• Maintain accurate records and documentation to comply with regulatory and ISI standards
• Meet with external contractors and manage projects to ensure timely and budget-compliant completion

Catering & Transport Management

• Oversee catering services to ensure quality standards and budget adherence
• Manage school transport operations, ensuring vehicles comply with regulatory standards and vendor performance is optimized
• Liaise with transport officers and vendors to maintain safety, efficiency, and service quality

Events & Commercial Activities

• Manage school events, external lettings, and functions by coordinating facilities, catering, security, and cleaning requirements
• Maximize income from external lettings and develop commercial service opportunities to support school revenue
• Provide logistical support for school activities, excursions, and events such as Sports Day, International Day, and parent sessions

Required competencies and certifications

• Diploma or Degree in Operations, Facilities, Hospitality, or related field
• Minimum 3-5 years of relevant experience in operations, facilities, or project management
• Strong knowledge of health, safety, and compliance regulations in educational or similar settings
• Excellent organisational, communication, and leadership skills demonstrated through managing complex operational functions
• Proficient in MS Office, Google Workspace, and operational management tools to support daily tasks and reporting
• Ability to work independently, manage multiple priorities, and solve problems proactively in a dynamic school environment
