Job Description

  • Provide exceptional customer service via phone calls to resolve inquiries or promptly refer to the appropriate department for action, welcome clients/guests at our office premise, monitor visitor access and security, and responsible for mails/postal and delivery matters 
  • Responsible for ensuring the office tidiness/cleanliness, procurement of office/pantry supplies and timely replacements/maintenance of the printers/copiers, management of the office facilities and telco matters  
  • Support all office events and perform other ad hoc duties as assigned  
  • Provide Administrative Support to Technical team 
  • Data input and relevant documentation coordination and filing 
  • Prepare regular Vessel Inspection Reports and presentation materials 
  • Make travel and vessel inspection arrangements  
  • Follow up on Invoices for submission to Accounts Department and reimbursement claims for superintendents 

Qualifications and skills

  • 2 years secretarial and office administration experience
  • Events/facilities management experience is preferred 
  • Maritime industry experience is preferred
  • Degree holder/ Diploma holder with few years of experience 
  • Proficient in Microsoft office (specifically in powerpoint and excel) and outlook 365
