Job Description

Company Overview

We are a commercial vehicle sales company located in Tampines, focusing on delivering excellent truck options and a seamless purchasing experience to our clients. We are looking for an organized, detail-oriented, and proactive Office Executive to manage our daily office administration, support warehouse operations, and handle logistics coordination with our international partners.

Key Responsibilities

  1. Report directly to the Company Director and provide comprehensive administrative support for daily operations.

  2. Oversee and manage warehouse operations, ensuring inventory accuracy, organized storage, and smooth stock movements.

  3. Coordinate and arrange import/export logistics and shipping schedules for trucks coming from overseas.

  4. Prepare, check, and manage all import/export documentation, including customs declarations, bills of lading, and shipping invoices.

  5. Coordinate and communicate directly with overseas suppliers in China regarding documentation, vehicle details, and shipment statuses.

  6. Efficiently manage and maintain the systematic filing of all truck sales documentation, warehouse records, and corporate files.

  7. Handle basic bookkeeping, manage general office expenses, and process specific truck retail and import-related expenses.

  8. Perform daily administrative tasks to ensure the smooth operation of the sales office and warehouse facilities.

Requirements

  1. Nationality: Open to Singaporeans or Permanent Residents (PR) only.

  2. Language Proficiency: Must be highly fluent in both spoken and written Mandarin/Chinese and English to effectively liaise with overseas suppliers in China and manage Chinese-language business and shipping documentation.

  3. Experience: Prior experience handling administrative duties, warehouse coordination, import/export procedures, or tracking expenses within a truck sales / commercial vehicle retail environment is highly preferred.

  4. Skills: Exceptional organizational skills, strong attention to detail, and proficiency in standard office software (such as Word and Excel).

  5. Attributes: Comfortable managing both desk-based administration and warehouse-related coordination, able to work closely with senior management, self-motivated, and independent.
