Job Description

Job Duties
Office Administration
• Oversee daily office operations to ensure efficiency and smooth workflow
• Ensure office equipment and supplies are well maintained and operational
• Coordinate with vendors, contractors, service providers, building management, and landlord
• Ensure compliance with office health, safety, and security regulations
• Develop and implement administrative policies, procedures, and office protocols
• Assist in planning and executing meetings and events

Administrative & Executive Support
• Provide administrative support to the Manager, including collation of reports and preparation of presentations and documentation
• Manage and coordinate calendars, appointments, travel arrangements, and expense reporting
• Screen and manage calls, emails, and correspondence on behalf of the Manager
• Take minutes of meetings, track action items, and follow up on outstanding tasks
• Handle confidential matters with discretion and professionalism

HR & Employee Support
• Assist with employee onboarding, allocation of office resources, and records management
• Maintain leave tracking, office policies, and HR administrative support

Budget & Expense Management
• Monitor and manage the office administration budget
• Process expense claims, office purchases, and vendor coordination

IT & Document Management
• Liaise with IT support to maintain office systems, databases, and security protocols
• Ensure proper filing and retrieval of documents, contracts, and reports

Job Requirements

  • Minimum 1 year of experience working in Family Office settings
  • Team-oriented and collaborative
  • Strong secretarial and administrative skills, including schedule and correspondence management
  • Excellent organisational skills, with the ability to manage office operations and track work progress
  • High level of discretion and professionalism in handling sensitive information
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint)
  • Meticulous and able to exercise sound judgment
  • Able to work independently with minimal supervision
  • Capable of multitasking and meeting tight timelines
  • Able to start work in short notice
  • Working location: CBD area
  • Working hrs: Mon to Fri office hours
