Job Description
Job Responsibilities:
- Plan, coordinate, and execute inbound and outbound shipments (air, sea, and land) in a timely and cost-effective manner, in alignment with project requirements and management approval.
- Liaise closely with freight forwarders, shipping agents, and service providers to obtain schedules, quotations, and ensure smooth shipment execution.
- Prepare and review shipping documentation, including packing lists, commercial invoices, and customs documentation to ensure accuracy and compliance with regulatory requirements.
- Manage and track shipment progress, providing regular updates to internal stakeholders (Operations, Project Teams, and Sales) on timelines and delivery status.
- Proactively follow up with logistics partners to ensure on-time delivery of equipment and resolve any shipment issues or delays.
- Support project teams by coordinating all logistics activities to ensure readiness and timely delivery for project execution.
- Ensure compliance with company policies, standard operating procedures, and regulatory/legal requirements when engaging third-party logistics providers.
- Maintain accurate and up-to-date logistics records and documentation with a high level of accuracy.
- Collaborate with the Sales team to provide freight cost estimates and logistics input during the quotation stage.
- Build and maintain strong relationships with vendors, freight forwarders, and service providers to secure competitive pricing and reliable service.
- Continuously monitor logistics processes and contribute to process improvements, cost optimization, and operational efficiency.
- Work closely with cross-functional teams to ensure seamless coordination across departments.
Requirements:
- Diploma or Degree in Logistics, Supply Chain Management, or a related field.
- Minimum 5 years of relevant experience in logistics, shipping coordination, or supply chain operations.
- Experience in a fast-paced, project-based or related industry (e.g., events, media, engineering, or similar) is preferred.
- Strong understanding of international shipping processes, documentation, and customs regulations.
- Knowledge or experience in ATA Carnet applications will be an advantage.
- Excellent organizational and multitasking skills with the ability to manage tight timelines and multiple shipments simultaneously.
- Strong interpersonal and communication skills, with the ability to work effectively with both internal stakeholders and external vendors.
- A proactive, hands-on, and problem-solving mindset with strong attention to detail.
- Resourceful, independent, and a team player who takes ownership and drives tasks to completion.
- Proficient in Microsoft Office and logistics tracking systems.
