Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Lease Administration
•Prepare, issue, track and file leasing documents including Letters of Offer (LOO), Tenancy Agreements (TA), renewals, and variations and other letters/ notices and correspondences
•Track lease commencement and expiry dates, rental revisions, renewal timelines and necessary documentations from tenants (e.g. insurance, BG, etc.)
•Maintain accurate and up-to-date tenancy records in leasing systems and physical files
•Ensure proper documentation in accordance to SOP (e.g. ACRA, trademark, SD, etc.)
Coordination & Support
•Liaise with tenants, legal teams, and internal departments (Finance, Operations, Marketing) on lease-related matters
•Support leasing managers in deal administration and reporting
Financial & Compliance Support
•Assist in rental billing setup, deposits, and other lease-related charges
•Monitor rental arrears and sales performance of tenants
•Monitor submission of tenant documents such as insurance certificates, business licenses, etc
•Liaise with finance/tenants pertaining to monthly sales submission, yearly audit statement, etc.
Reporting & Data Management
•Prepare monthly leasing summary, GTO reports, tenancy schedules, and occupancy updates
•Support audits by ensuring proper documentation and records are available
General Administrative Duties
•Handle correspondence, filing, and document control
•Provide administrative support for leasing meetings and presentations
•Liaise with local authorities on various approval for request of filming and events at The Fullerton Precinct
•Manage the licensing of all lightbox spaces, banners and signages at The Fullerton Precinct
•Manage the yachts berth applications at The Clifford Pier/Customs House within The Fullerton Precinct
•Assist with creating purchase requisition for approvals.
•Perform other ad-hoc duties as assigned
Requirements:
•Minimum Diploma in Estate Management, Building or equivalent
•Min 3 years of relevant experience in a similar role with a sound understanding of the real estate industry
•Able to work under pressure in a fast-paced environment and meet tight deadlines while maintaining high accuracy
•Self-motivated with the ability to work independently and as part of a team, taking initiative to ensure tasks are completed accurately and on time.
•Strong communication and interpersonal skills to effectively convey information and collaborate with team members
