Job Description

1. Payroll & HR Administration

  • Administer monthly payroll, including attendance, overtime, leave, and payroll processing.

  • Maintain accurate employee records, personal information, leave, and HRIS data.

  • Prepare final salary payments and payroll settlements for exiting employees.

2. Recruitment & Work Pass Administration

  • Coordinate the end-to-end recruitment process, including job advertisements, candidate screening, interview scheduling, and onboarding.

  • Manage work pass applications, renewals, cancellations, and related matters via WPOL, EPOL, and other statutory portals.

  • Create and maintain employees' electronic personnel files (e-files).

3. Employee Lifecycle Management

  • Manage the full employee lifecycle from onboarding to offboarding.

  • Conduct new hire orientation and ensure completion of all onboarding requirements, including documentation, system access, and account setup.

  • Coordinate probation reviews, confirmation, and extension processes with respective HODs.

  • Administer resignations, prepare employment-related letters, coordinate exit clearance, IR21 submissions (where applicable), and system access deactivation.

4. Training & Compliance

  • Maintain employee training records and coordinate internal and external training programmes.

  • Process government-related claims, including Maternity Leave, NS Leave, Childcare Leave, and other statutory claims.

  • Ensure compliance with MOM, CPF Board, IRAS, and other employment regulations.

5. Employee Engagement & HR Support

  • Support employee welfare activities, engagement programmes, and company events.

  • Assist the HR Manager with HR initiatives, projects, reporting, and administrative duties.

  • Provide administrative support to other departments when required.

6. Personal Assistant Duties

  • Manage management's calendars, appointments, meetings, and travel arrangements, including visas, accommodation, and itineraries.

  • Coordinate meetings and prepare meeting logistics.

  • Handle confidential information with professionalism and discretion.

  • Act as the liaison between management and internal/external stakeholders.

  • Coordinate management's personal administrative matters, including reimbursements, subscriptions, personal payments, and credit card settlements.

  • Assist with personal errands and ad-hoc assignments as required.

7. Office Administration

  • Manage office supplies, stationery inventory, and procurement.

  • Perform general administrative duties and other ad-hoc responsibilities assigned by management.
