Job Summary
Manage and optimize daily office administration and operations by implementing global administrative systems, coordinating facility maintenance, managing procurement, and supporting logistics to ensure efficient workplace functionality.
Responsibilities
- Plan and implement a global administrative and general affairs management system, including developing standard forms, meeting SOPs, and training staff on clerical tools
- Coordinate facility upkeep by liaising with vendors to maintain cleanliness, first aid supplies, and fire-fighting equipment
- Ensure reception and meeting rooms are prepared and maintained at the start and end of each day
- Record and update office inventory and manage timely ordering of stock and supplies
- Manage procurement and replenishment of consumables, stationery, and other office essentials for all centers
- Provide logistics support by arranging room bookings, preparing beverages, and setting up equipment such as projectors
- Manage diaries, arrange appointments, and book meeting rooms and conference facilities efficiently
- Perform additional duties as assigned by Senior Management
Preferred competencies and qualifications
- 3-5 years of relevant experience in co-working or shared office management
- Experience in developing global administrative affairs, property management, and establishing SOPs
- Project management experience
- Experience in office renovation
