Finance & Administrative Associate

Location: Singapore

Role Summary

The Finance & Administrative Associate will be responsible for supporting the day-to-day finance, administrative, and office operations of the company.

The role focuses on maintaining accurate financial records, coordinating with external accountants, managing documentation, and ensuring smooth administrative operations across Singapore entities.

Key Responsibilities

Finance Administration

  • Prepare customer invoices.
  • Monitor Accounts Receivable (AR).
  • Follow up on outstanding payments.
  • Record supplier invoices and expenses.
  • Process Accounts Payable (AP).
  • Maintain finance filing systems.
  • Prepare supporting documents for monthly accounting.

Banking & Payments

  • Prepare payment schedules.
  • Coordinate supplier payments.
  • Maintain payment records.
  • Assist with bank reconciliations.
  • Liaise with banks when required.

Accounting Support

  • Coordinate with external accountants and auditors.
  • Assist with GST submissions.
  • Prepare month-end documentation.
  • Maintain fixed asset records.
  • Organize financial documents for audits.

Administrative Duties

  • Maintain company records and contracts.
  • Manage office supplies and procurement.
  • Coordinate corporate secretarial matters.
  • Track insurance and licence renewals.
  • Maintain document registers.

HR & Payroll Support

  • Assist with payroll preparation.
  • Maintain employee records.
  • Coordinate leave and attendance records.
  • Support onboarding documentation.
  • Handle MOM-related administrative matters.

Ecommerce & Operations Support

  • Reconcile marketplace payouts.
  • Verify Shopee, Lazada, Shopify sales reports.
  • Track logistics and fulfilment invoices.
  • Assist with inventory reconciliation.

Requirements

Experience

  • 2-5 years experience in finance, accounting, administration, or office management.
  • Experience in SME environment preferred.
  • Experience with Xero or accounting software preferred.

Skills

  • Strong attention to detail.
  • Good Excel and Google Sheets skills.
  • Organized and systematic.
  • Able to handle confidential information.
  • Good written and verbal communication.
