Position Overview
We are seeking a dynamic, highly organised, and motivated Executive to join our small team.
This role is a key generalist position that supports the organisation’s strategic and operational functions, good governance, financial administration, and the smooth execution of day-to-day activities. The successful candidate will be involved in a broad spectrum of responsibilities, including funding and grant applications, budgeting, accounts administration, compliance matters, and stakeholder support to ensure the organisation operates effectively and in alignment with its objectives.
As this is a confidential position, the Executive will be required to maintain and update records, databases, and files with a high level of accuracy, discretion, and confidentiality.
This is a substantive executive-level role and not a junior clerical or purely administrative support position. The successful candidate is expected to operate with a high degree of independence, sound judgement, and initiative across multiple functional areas. Candidates whose experience is limited to clerical duties or basic administrative support may not find this role suitable.
Key Responsibilities
- Support the organisation’s governance and compliance processes
- Assist with funding and grant applications, reporting, and follow-up documentation
- Support budgeting processes and accounts administration
- Maintain accurate records, databases, and filing systems with strict confidentiality
- Prepare minutes of meetings, reports, presentations, and related documentation
- Support fundraising initiatives, including donation tracking and donor communications
- Liaise with volunteers, donors, and external partners to foster positive relationships and advance the organisation’s mission
- Provide administrative and project support across multiple functions as required
Requirements / Ideal Candidate Profile
We are looking for a committed and capable individual who is aligned with our mission and able to contribute across a broad range of organisational functions.
The ideal candidate should possess:
- A diploma or degree in Business Administration, Accountancy, Social Sciences, Communications, Arts Management, or a related field
- Relevant experience in administration, finance support, governance, grant administration, fundraising support, or a generalist executive role
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines
- Good understanding of budgeting, accounts administration, and record management
- Experience supporting grant or funding applications and reporting would be an advantage
- Excellent written and verbal communication skills, including the ability to prepare minutes, reports, and presentations
- High level of accuracy, discretion, and professionalism in handling confidential information
- Good interpersonal skills and the ability to build positive relationships with donors, volunteers, partners, and stakeholders
- Proficiency in Microsoft Office applications, especially Word, Excel, and PowerPoint
- A proactive, resourceful, and self-motivated approach to work
Candidates with a genuine interest in the social service or charity sector, and a passion for supporting children with special needs through the arts, will be particularly well suited for this role.
