Position Overview

The Executive Assistant cum Receptionist provides comprehensive administrative, personal assistance, and front-desk support to the Chief Executive Officer (CEO). This role requires a high level of discretion, organisation, and adaptability, supporting both business and selected personal matters while ensuring smooth daily office operations at the reception area.


Key Responsibilities

  • Manage and coordinate the directors’ calendar, meetings, appointments, and schedules
  • Prepare meeting agendas, attend meetings when required, and record accurate minutes
  • Provide administrative coordination for approved personal errands
  • Assist in scheduling and coordinating medical appointments and related arrangements
  • Liaise with external parties such as clinics, service providers, or caregivers as required
  • Ensure sensitive personal information is handled confidentially and professionally
  • Handle confidential correspondence, documentation, and administrative matters with discretion
  • Assist with ad-hoc administrative and operational tasks as assigned by the director
  • Be stationed at the reception area and serve as the first point of contact for visitors and callers
  • Manage incoming calls, visitors, mail, and deliveries in a professional manner
  • Maintain a tidy, organised, and welcoming reception area
  • Support general office coordination and administrative tasks


Key Requirements

  • Diploma or equivalent qualification in Business Administration or a related field
  • Minimum 2 years of experience in an Executive Assistant, Personal Assistant, or Front Office role
  • Strong organisational and multitasking skills
  • High level of professionalism, discretion, and confidentiality
  • Good interpersonal and communication skills
  • Proficient in Microsoft Office and standard office systems
  • Nursing or Caretaking experience (optional)
