Position Overview
The Executive Assistant cum Receptionist provides comprehensive administrative, personal assistance, and front-desk support to the Chief Executive Officer (CEO). This role requires a high level of discretion, organisation, and adaptability, supporting both business and selected personal matters while ensuring smooth daily office operations at the reception area.
Key Responsibilities
- Manage and coordinate the directors’ calendar, meetings, appointments, and schedules
- Prepare meeting agendas, attend meetings when required, and record accurate minutes
- Provide administrative coordination for approved personal errands
- Assist in scheduling and coordinating medical appointments and related arrangements
- Liaise with external parties such as clinics, service providers, or caregivers as required
- Ensure sensitive personal information is handled confidentially and professionally
- Handle confidential correspondence, documentation, and administrative matters with discretion
- Assist with ad-hoc administrative and operational tasks as assigned by the director
- Be stationed at the reception area and serve as the first point of contact for visitors and callers
- Manage incoming calls, visitors, mail, and deliveries in a professional manner
- Maintain a tidy, organised, and welcoming reception area
- Support general office coordination and administrative tasks
Key Requirements
- Diploma or equivalent qualification in Business Administration or a related field
- Minimum 2 years of experience in an Executive Assistant, Personal Assistant, or Front Office role
- Strong organisational and multitasking skills
- High level of professionalism, discretion, and confidentiality
- Good interpersonal and communication skills
- Proficient in Microsoft Office and standard office systems
- Nursing or Caretaking experience (optional)
