Job Description
Job Summary:
We are looking for an experienced Event Logistics Manager to join a high-performing corporate events team within a leading global technology company. This role is ideal for someone with 5–6 years of hands-on experience in event logistics, vendor coordination, and stakeholder management.
The successful candidate will be responsible for end-to-end planning and execution of internal and external events in alignment with company policies and service standards.
Key Responsibilities:
- Venue Sourcing & Contracting: Lead hotel and venue sourcing efforts, manage RFP processes, conduct rate negotiations, and handle contracting in accordance with company requirements.
- Attendee Management: Work with internal teams and external vendors to develop event websites and oversee attendee registration processes.
- Budget & Cost Control: Prepare and manage event budgets, monitor billing, track cost savings, and ensure financial accountability throughout the event lifecycle.
- Logistics Planning: Oversee all logistical aspects of event execution including vendor coordination, timeline management, production support, and on-site logistics.
- Hotel Room Block Oversight: Monitor room block pick-up, manage attrition risks, and coordinate with hotels on rooming lists and deadlines.
- Compliance & Reporting: Ensure all events adhere to internal SOPs, policy guidelines, and service-level agreements (SLAs). Maintain accurate data and reporting via event management systems.
- Stakeholder Engagement: Serve as the main point of contact for event owners and business partners, building trusted relationships and providing strategic event guidance.
Qualifications:
- 5–6 years of experience in corporate event planning, logistics, or project management.
- Solid skills in vendor negotiation, budgeting, and on-site execution.
- Detail-oriented, highly organized, and capable of managing multiple projects under tight timelines.
- Proficient in using event management tools and registration platforms.
- Strong interpersonal and communication skills.
- Experience with international or virtual events is a plus
