Job Description

Roles & Responsibilities

The Customer Service Coordinator (CS) reports to the Executive/Operations Manager. The scopes listed below is a general work scope that applies to all CS.
5.1. Update WMS for inbound, outbound, import & export shipment and duty payment of the car.

5.2. Update inventory records and location plan for movement of the cars whenever required (inbound cars, shifting of cars to outbound cars, relocation of cars and etc).

5.3. Facilitate daily transportations. Communicate with customer regarding daily order requests and local delivery, collection and events arrangements and liaise with controller to ensure customer satisfactory.

5.4. Ensure that all relevant transaction records (location plan, daily inventory reports and permits) are accountable and maintained neatly in hard and soft copy.

5.5. Update daily reports and tally with the inventory – make sure data match WMS records, number of cars per location in location plan.

5.6. Ensure overflow storage to be billed beginning of next month, transportation billing for every job done.

5.7. Prepare the relevant documents. Inbound shipment, e.g. Car List, Check List, Pre-Clearance Defect Form and Permits for LA, before LA proceed to port to check cars and driver deploy to collect cars.

5.8. Update customers with regards to any defects for inbound shipment of cars and make any additional arrangements if necessary (e.g. car with major defect in shipment to inform customer immediately and if customer wish to deliver directly to their PDI center for inspection; instead of sending to our warehouse).

5.9. Co-ordinate with operation controller to arrange for delivery, CS to confirm job and timing with controller as he/she will also receive customer email order.

5.10. Collect documents and dispatch to customer when required.

5.11. Check and ensure invoices amount is correct (PSA invoices, towing invoices).

5.12. Provide revenue and cost to be updated in Projection for CSE by every 25th of the month.

5.13. Ensure all relevant SOPs and WIs are adhered in assigned operations.

5.14. Involve in scheduled weekly Gemba, Toolbox meeting and report any findings found at any point of time. Facilitate the finding until all necessary actions is resolved.

5.15. Assist Business Support Executive in the ISO Audit renewal and/or new application.

5.16. Ensure building up keeping and housekeeping are done promptly to meet 5S+1 standards.

5.17. Ensure Operations’ compliance to Singapore custom, LTA and other government regulations and etc.

5.18. All data prepared in soft copies are required to be saved in shared drive, external hard disk and send out email attachment as a backup. This has to be done by end of each working day after the data preparation is completed.

5.19. Support/Coordinate with team members for completion of work related/ad hoc jobs/any tasks assigned by management within timeline given.

In addition to CS general duties, CS is also responsible for the followings:
6.1. Update the KPI reports for customer requirement with controller.

6.2. Update the Customization Reports for Customs requirement.

6.3. Preparation of permits for the import and export shipment.

6.4. Update the Customer system daily for transport order and shipment.

6.5. Prepare forms needed to ensure the record of handover cars.

6.6. First aider and monthly checking of first aid box and inform CS Executive if item needs replenishment/replacement.

1. 5.5 Days (Mon-Fri 8am-5pm, Alternate Sat 8am-1230pm)
2. Location: Tuas
3. Driving License required
