Job Description
Responsibilities for Operation
- Manage the full spectrum of shipping arrangements including air, sea, and land transport to ensure timely and accurate delivery of goods
- Process customer orders for import, export, cross-trade, and transshipment with attention to detail and compliance
- Cascade shipping instructions and related documents such as Bills of Lading (BL), pre-alerts, and permits to all relevant parties to facilitate smooth operations
- Liaise with the Customer Service Manager, Projects team, and Yacht Logistics in charge to coordinate shipment details and resolve issues
- Verify invoices from vendors, carriers, and co-loaders to ensure accuracy before processing payments
- Prepare and issue customer invoices and debit/credit notes for co-loaders and agents as required to maintain accurate financial records
- Close shipments by completing all necessary documentation and confirming delivery status
- Build and maintain positive working relationships with customers and vendors to support ongoing business needs
- Respond promptly to impromptu sales requests and customer needs to support business growth
- Provide backup support to colleagues during absences to maintain team productivity
- Perform comprehensive ad-hoc duties as assigned to support operational and customer service functions
Responsibilities for Customer Service
- Coordinate schedules and pricing to optimize customer service delivery and operational efficiency
- Receive and place telephone calls professionally to manage customer interactions
- Canvass new prospects to identify warm and cold leads for business development
- Implement appropriate solutions to address customer queries promptly and professionally to enhance customer satisfaction
- Register and record all enquiries accurately to maintain comprehensive customer records
- Troubleshoot and resolve customer issues effectively to maintain service quality
- Maintain excellent communication and interactions with all internal and external post-sales parties to ensure smooth service delivery
- Ensure proper implementation of Standard Operating Procedures (SOPs) to maintain consistent service quality
- Follow up with customers on quotations and update status to support sales processes
- Manage proper storage and regular updates of supplier and customer contact information, records, and documents in a systematic and accurate manner
- Perform comprehensive ad-hoc duties as assigned to support customer service operations
