Job Description
Summary:
Requires someone who is diligent and meticulous with details. Job Description:
Tenders and Contracts
- Be the single liaison point to coordinate and collate all information/documentation required for tender/proposal submission.
- Take Minutes of Meetings and coordinate with clients on tenders/quotations.
- Ability to format and revise commercial proposals and amend contracts/addendums promptly and accurately. Ability to understand commercial contracts is an advantage.
Reporting and Documentation
- Update databases, reports and trackers on a regular basis and maintain updated and accurate information in shared folders, files and any systems/portals
- Support internal audits, compliance checks and any other commercial support works assigned.
Finance Coordination
- Coordinate closely with Accounts Team to settle invoicing issues.
- Chase for payments for long outstanding overdue payments.
Team Coordination
- Coordinate closely with internal teams for operational needs to meet contract deliverables.
- Handle basic customer queries and maintain strong client relationships
Job Requirements
- Good tendering, administration and organizational skills to support commercial tenders and operations of the fleet.
- Good coordination, excellent proactive team player who takes strong initiatives with ability to work independently on tenders/quotations to meet urgent/hard deadlines.
- Fluent English & Communication skills (both written& spoken) is required for liaison with both clients and internal departments to ensure smooth execution of contracts.
- Basic Microsoft skills and maneuvering ship management system/portal is required.
- Mainly backend support role and office-based during office hours. Occasional vessel visits, client networking sessions and/or tender briefings overseas may be required.
