Job Description
As the Clinic Operations Executive, you will be responsible for the operational excellence of all clinics, which is critical to the patient experience. You will inspire, motivate, and partner the clinic teams in their efforts to provide our patients with a smooth and positive journey with Oriental Remedies Group.
Job Responsibilities
Procurement & Supply Management
Coordinate procurement orders for all clinics, ensuring timely and cost-effective sourcing of supplies.
Manage the ordering and receiving of supplies and equipment to ensure operational readiness.
Own the ordering, storage, and dispensing of herbs/medications and clinical supplies.
Handle procurement orders for new clinic setups, working closely with suppliers and internal stakeholders.
Vendor & Facilities Management
Coordinate with external agencies to manage clinic daily operational needs, which include:
Supply & maintenance of: Clinic daily cleaning services, Laundry services & Water dispensers.
Pest control services (where needed): Ensuring compliance with health and hygiene standards.
Fire extinguishers maintenance, ensuring compliance with SCDF and landlord standards.- Partner ORG Workplace Service Manager to ensure clinic operational requirements of all clinics are met on a timely basis. Includes:
Air-conditioning servicing and repairs
General clinic repair works: E.g. maintenance for toilets, water leaks, lighting, painting, carpentry, etc.
Operations Support
Own patient management system (PMS). E.g. creation of SKU codes for inventory and systems integration etc.
Support the clinic's operational flow, administrative duties. Contribute to establishing a positive team environment with collaborative & efficient workflow.
Proactively collaborate with clinic and medical teams to ensure a positive experience for every patient, to contribute beyond defined responsibilities when needed.
Internal Multi-functional Team Collaborations
- Partner with Workplace Service Manager to ensure clinic operational requirements of all clinics are met on a timely basis. Includes:
Air-conditioning servicing and repairs
General clinic repair works: E.g. maintenance for toilets, water leaks, lighting, painting, carpentry, etc. - Partner ORG Patient Experience (PX) Team to develop initiatives that drive positive PX.
- Responsible for rollout of PX related implementations (SOPs etc) to Clinic Management, via Clinic Managers.
Scheduling & Admin Support
Own staff scheduling: Daily rosters (clinic staff and physicians) and physician deployment for events.
Support team admin matters: HR-related (MC, etc)
- Compile operational statistics to support management insights, forecasting and decision-making.
Key Skills & Competencies Required
Action-oriented, solution-driven and timeline-focused.
Able to identify opportunities for improvement and take initiative to implement solutions.
Eye for details: Processes, systems, etc.
Team and stakeholders management.
Vendor management. Strong relationship-building skills, Strong acumen for sourcing & costings.
Patient-centric mindset and excellent interpersonal skills.
Strong coaching and communication skills, with proven ability to build rapport, guide, motivate team mates.

Job Requirements
- 3 to 5 years of operations experience, preferably within the retail or healthcare industry.
- Diploma holder
