Scheduling and Coordination:

• Manage the HOS's calendar, scheduling meetings and appointments
• Coordinate travel arrangements and itineraries
• Liaise with internal and external staff/clients/sub-contractors
• Weekly Monday co-ordination internal meeting with all the Head of Department

Administrative Support:

• Manage correspondence, emails, and phone calls
• Prepare and edit reports, presentations, and documents
• Maintain files, records, and databases
• Attendance checking
• Stocking of refreshments for clients
• Record keeping of Freshwater Bunker Supply of vessels, tugs and barges
• Re-imbursement claims of HOS (Overseas and domestic)
• Any administrative duties assigned by HOS

Project Support:

• Provide administrative support for shipyard projects
• Project document assistance with the sponsoring of Common Contractors' applications Raising Project Requisitions through Yon You system
• Raising Payment Requests for invoices/claims

Requirements:

• Minimum Diploma and above
• At least 2-3 years of working experience in the marine industry         
• Knowledge in shipping will be advantageous     
• Good communication and interpersonal skills with excellent command of English  
• Computer literate
• Proficient with all MS Office Applications
