Job Summary

Join Ho & Wee LLP as an Administrative Executive to support lawyers and management with legal and office administration in a dynamic law firm environment.

Responsibilities

  • Provide administrative and secretarial support to lawyers and management to ensure smooth office operations
  • Draft and prepare correspondences, basic legal documents, and standard forms under lawyer supervision to support case management
  • Maintain client databases and conduct conflicts checks to ensure accurate matter management and compliance
  • Perform data entry and organize physical and electronic filing systems for efficient document retrieval
  • Conduct KYC checks and maintain client due diligence records following firm procedures to uphold regulatory compliance
  • Prepare bills and assist with billing processes to support financial operations
  • Monitor deadlines and manage lawyers’ schedules to facilitate timely case progress
  • Manage daily office operations including answering phone calls, receiving visitors, and handling enquiries professionally
  • Collect, sort, and distribute mail; coordinate with despatch and courier services to ensure timely delivery
  • Manage purchasing and maintenance of office supplies such as stationery and pantry items to support office needs
  • Coordinate with third-party service providers, including IT, to maintain office functionality
  • Assist in archiving and retrieving files to maintain organized records
  • Oversee office cleanliness and maintenance to provide a professional work environment

Required competencies and certifications

  • Minimum 3–4 years of administrative experience in a Singapore law firm or professional services firm
  • Hands-on experience in at least one practice area: litigation, conveyancing, or corporate/secretarial work
  • Familiarity with KYC procedures and client file opening processes
  • Good command of written and spoken English
  • Proficient in Microsoft Office applications (Word, Excel, Outlook)

Preferred competencies and qualifications

  • Diploma or equivalent qualification
