Job Summary
Join SOLEN TRANSPORT as an Admin Assistant to support transport operations by coordinating truck movements, managing documentation, and liaising with stakeholders to ensure smooth delivery and logistics processes.
Responsibilities
- Provide administrative and clerical support to management to ensure smooth office operations
- Schedule and coordinate daily truck and container movements to optimize transport efficiency
- Monitor customer requests, transport schedules, and delivery updates to maintain timely communication
- Liaise with drivers, customers, depots, ports, warehouses, and project sites to coordinate truck movements effectively
- Track and update delivery, collection, and container movement statuses to ensure accurate operational records
- Prepare and maintain transport schedules and operational documents for management review
- Issue delivery orders, job sheets, invoices, and other transport-related documentation accurately and timely
- Handle incoming calls, emails, and customer enquiries professionally to provide clear information and support
- Maintain accurate records of vehicle documents, including insurance, road tax, inspections, and permits for compliance
- Assist with data entry, filing, and document management to support office organization
- Coordinate vehicle servicing, inspections, and maintenance appointments to ensure fleet readiness
- Support the Accounts Executive with administrative and document-related tasks to facilitate financial processes
- Monitor office supplies and perform general office administration duties to maintain a functional work environment
- Perform additional duties assigned by management to support overall company operations
Required competencies and certifications
- Proficient in Microsoft Office (Word, Excel, Outlook) to perform administrative tasks efficiently
Preferred competencies and qualifications
- Good communication and interpersonal skills to interact effectively with internal and external stakeholders
- Ability to multitask and work in a fast-paced environment to manage multiple responsibilities simultaneously
- Strong organizational and coordination abilities to ensure smooth transport operations
- Prior experience in transport, logistics, freight forwarding, or container haulage to add value to the role
- Positive attitude and willingness to learn, especially for fresh candidates
