About Us

We are a leading distributor in the fast-paced wholesale beverage sector. We supply a diverse portfolio of products—ranging from premium liquors and craft beers and other beverages—to retail, hospitality, and corporate clients. We are looking for an organized, proactive, and sharp Administration Manager to streamline our office operations, manage compliance, and support our rapid growth.

Role Overview

As the Administration Manager, you will be the backbone of our daily operations. You will oversee the administrative team, ensure seamless coordination between our sales and warehouse departments, manage vendor relationships, and handle industry-specific compliance (including liquor licensing and logistics documentation).

Key Responsibilities

  • Office & Operations Management: Oversee daily administrative workflows, maintain office supplies, manage facilities, and ensure a productive work environment.
  • Compliance & Licensing: Manage and renew essential industry licenses (liquor distribution permits, health and safety certifications, import/export documentation if applicable).
  • Team Leadership: Supervise, mentor, and evaluate a small team of administrative assistants and data entry clerks.
  • Cross-Departmental Coordination: Act as the bridge between Sales, Procurement, and Warehouse Operations to ensure accurate order processing and invoicing.
  • Vendor & Contract Management: Liaise with utility providers, IT support, insurance brokers, and office vendors to negotiate contracts and ensure cost-effectiveness.
  • Reporting & Data Management: Maintain organized physical and digital filing systems; assist management with monthly operational and expense reports.
  • Other Ad-Hoc tasks assigned

Requirements & Qualifications

  • Experience: Minimum of 3–5 years in an Office Management or Administration Manager role. Experience in wholesale, distribution, logistics, or the F&B industry is highly preferred.
  • Qualification: Bachelor degree or equivalent
  • Industry Knowledge: Familiarity with liquor licensing regulations and supply chain administrative processes is a massive plus.
  • Tech-Savvy: Proficiency in MS Office (Excel, Word) and experience with ERP/Inventory management software.
  • Skills: Exceptional organizational skills, strong leadership capabilities, and excellent written/verbal communication.
  • Problem-Solving: Ability to thrive and maintain accuracy in a fast-paced, high-volume environment.
