Job purpose
The Admin Officer serves as the administrative anchor for the Telok Blangah Centre. The role is responsible for end-to-end coordination of referrals, admissions, billing, reporting, and service operations, ensuring smooth centre functioning and freeing Social Workers to focus on direct clinical and casework responsibilities.
The role also provides frontline administrative support and is comfortable engaging seniors and caregivers as part of service delivery.
Key responsibilities
1. Administrative & Referral Management
Referrals and Intake Coordination
Manage BRIGHT referrals, including:
- Processing referrals
- Updating BRIGHT status from assignment to discharge
- Preparing CARES client profiles
- Scheduling intake (Day Care) and Initial Assessment (Home Therapy) and providing brief system updates
- Updating BRIGHT progress notes and liaising with AIC officers where required
- Supporting social workers in simple Financial Assistance (FA) documentation and submissions, financial deviations
Registration and Admission
Manage CARES admission and data entry, including:
- Service Agreements (Sharing with seniors and signing of agreements), other required forms
- Coordinate client registrations
- Coordinate deposit collection and NRIC documentation
- Flag follow-up needs for Social Work support
Care Plan (ICP) / MDT Support
- Provide documentation and administrative support to Social Workers for MDT processes and conduct simple questionnaires where required (with training)
- Support discharge processes and financial billing and invoicing matters
- Any other assigned matters related to administration and documentation, day to day operations
Qualifications and Skills Required
- Diploma in Social Services, Community Services, Healthcare Administration, Business Administration, or related fields
- Minimum 2 years' experience in social service agencies, healthcare, community care or other related social service settings
- Experience managing end-to-end administrative processes
- Must be comfortable working with seniors and communicating/coordinating with them, asking simple questions to engage seniors and to fill up forms jointly with seniors
- Must bec passionate in working with the elderly
- Ability to work with a multi-disciplinary team consisting of Social Workers, OT/PT, Nurses, etc
